At OLL.E, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how we collect, use, disclose, and safeguard your data when you use our mobile application (the "App"), our website at olle.tech, and related services.
By using the OLL.E App, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms, please do not access or use the App.
1. Information We Collect
1.1 Account and Profile Information
- Registration data: your name, email address, IP address, country, and password.
- Authentication data: if you register using Google Sign-In, we receive your Google account email address, name, and profile picture.
- Profile information: profile picture (if uploaded), profession, preferences, and settings.
- Device information: unique device identifiers, operating system version, device model, and app version.
1.2 Notification and Message Data
If you grant notification access, OLL.E reads notifications from the apps you explicitly select, so it can decide whether an incoming message matches a rule ("watch") you configured.
- Notifications that do not match a watch are evaluated and then discarded. We do not retain them on our servers.
- Notifications that do match a watch are retained so we can trigger your alert and display the item in your in-app feed and history. This includes the sender name or username and the message content that caused the match.
Important: matched message content is stored because the feed, alert history, and any automated action you configured would not otherwise work. You can delete individual feed items in the App, and all of it is removed when you delete your account. See Section 8 for retention periods.
1.3 Gmail Data
If you connect a Google account for email monitoring, OLL.E requests the following Gmail scopes:
- gmail.readonly - to read your messages and their metadata so we can detect emails matching your rules.
- gmail.send - to send an email from your account when you have configured and approved an automated reply.
- gmail.modify - to apply labels and change read status on messages your rules act upon.
We access Gmail data only to deliver the monitoring and reply features you configure. We do not use Gmail data for advertising, we do not sell it, and we do not use it to train generalised AI models.
1.4 Google Calendar Data
If you connect a Google account for calendar monitoring, OLL.E requests the following Calendar scopes:
- calendar.readonly - to read your calendars and events so we can alert you about upcoming, changed, or newly invited events that match your rules.
- calendar.events - to create, update, or respond to events on your behalf when you have configured and approved such an action.
Calendar data we process includes event titles, descriptions, times, locations, organiser and attendee email addresses, and response status. We access it only to deliver the monitoring and automation features you configure.
1.5 Google API Services Limited Use Disclosure
OLL.E's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we affirm that:
- We use Google user data only to provide or improve user-facing features that are prominent in the OLL.E interface.
- We do not transfer Google user data to third parties except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition.
- We do not use Google user data for serving advertisements of any kind.
- We do not allow humans to read your Gmail or Calendar data unless we have your explicit consent for a specific issue, it is necessary for security purposes or to comply with applicable law, or the data has been aggregated and anonymised.
- We do not use Google user data to develop, improve, or train generalised AI or machine learning models. Data is passed to AI models only to produce your own result, in the moment, for the feature you enabled. See Section 3.
1.6 Other Connected Services
OLL.E lets you connect additional sources so it can watch them for you. Where you connect one, we process only the data needed to run the rules you configured:
- Job platforms (such as Upwork, Freelancer, PeoplePerHour and Guru) - public job listings matched against your filters.
- MCP servers - the server address, credentials you supply, and the requests and responses exchanged with it.
- Webhooks - the endpoint you configure and the payloads sent to or received from it.
- HubSpot and analytics connectors - the account credentials you supply and the records your rules read.
Credentials and access tokens for connected services are stored encrypted. You can disconnect any service at any time from More, Linked Accounts in the App.
1.7 Voice and Audio
If you use the voice features in OLL.E chat, audio captured from your microphone is sent to Microsoft Azure Cognitive Services to be converted to text, and text is sent to the same service to generate spoken replies. Microsoft processes this audio as our service provider.
Detection of when you start and stop speaking runs entirely on your device and is never transmitted. We do not record or store your audio after the transcription is produced. Your microphone is only accessed while you are actively using a voice feature.
1.8 Images You Share
If you attach an image in chat or share one into OLL.E from another app, that image is uploaded to our servers and passed to an AI model so it can be understood and answered. Images you upload for a bug report are used only to diagnose the issue you reported.
1.9 Usage and Diagnostic Data
- App interactions: features used, screens viewed, settings configured, watches created, and responses received.
- Log data: IP address, timestamps, crash reports, and performance data.
1.10 Analytics, Session Recording and Install Attribution
We use product analytics to understand how OLL.E is used and where people get stuck. This includes:
- Product analytics: events describing what you did in the App, associated with your account identifier, email address and name.
- Session recording: for a limited period after you first install the App, we record a wireframe playback of your screens to find friction in setup. Text you type into input fields and images are masked and not captured. Recording stops permanently once your watches are live, after three days, or when you sign out - whichever comes first.
- Install attribution: we use an attribution provider to work out which campaign or link an install came from. This uses your device's advertising identifier and the Google Play install referrer.
Advertising identifier: we use your advertising identifier only to attribute installs and measure our own marketing. We do not use it to build advertising profiles, we do not serve ads in OLL.E, and we do not sell it. You can reset or delete it at any time in your device settings under Privacy, Ads.
1.11 Subscription and Billing Information
If you buy a subscription inside OLL.E (iOS or Android), the payment is processed securely by Apple or Google. We never receive or store your card or payment details.
We receive only limited subscription information, such as:
- Plan type (Pro / Max) and billing period (monthly / yearly)
- Renewal status (active, expired, cancelled)
- Country and currency
- Trial status, if used
- An anonymous purchase token used to validate the subscription
1.12 Referral Program
If you take part in the referral program, we record your referral code, who redeemed it, and the usage credits awarded, so we can apply the credits and prevent abuse. When you share your code we do not gain access to the contacts or messaging apps you share it through.
2. How We Use Your Information
- Provide services: to operate the App and run the watches, alerts, and automated actions you configure.
- Connected accounts: to read Gmail, Calendar, and other connected sources for the rules you set up, and to act on them when you have approved it.
- Personalisation: to tailor suggestions and content to your stated profession and preferences.
- Communication: to send you alerts, security notices, and support messages.
- Improvement: to analyse usage and improve our features and reliability.
- Security: to detect and prevent fraud, abuse, and unauthorised access.
- Subscription management: to activate your plan, apply usage limits, and validate your subscription with Apple or Google.
- Marketing measurement: to understand which campaigns bring people to OLL.E.
3. AI Processing and Automated Decisions
OLL.E is an AI product. To decide whether something matters to you and to draft responses, we send relevant content to AI models operated by us and by third-party AI providers acting as our processors.
- What is sent: the notification, email, calendar event, job listing, chat message, or image relevant to the rule being evaluated, plus the instructions you wrote.
- What is produced: a match decision, and where you enabled it, generated text such as a reply, a bid letter, an insight, or a summary.
- Training: we do not permit our AI providers to use your content to train their models. Data from Google APIs is never used for model training of any kind.
AI output can be wrong. Content generated by OLL.E is labelled as AI output in the App, and you should review it before relying on it or sending it to anyone. Where a generated message can be sent on your behalf, you control whether that happens.
If you believe generated content is offensive or incorrect, you can report it from within the App using the feedback control shown alongside it. We use those reports to improve filtering and quality.
4. Information Sharing and Disclosure
4.1 Service Providers
We share data with vendors who process it on our behalf, under contract, and only to provide our service. These are listed in Section 5. They may not use your data for their own purposes.
4.2 App Stores
Apple and Google act as the merchant for in-app purchases. They send us basic subscription status but never your payment details.
4.3 Legal Requirements
We may disclose your information if required to do so by law or in response to valid requests by public authorities.
4.4 Business Transfers
In the event of a merger, acquisition, or asset sale, your personal information may be transferred. We will provide notice before it becomes subject to a different privacy policy.
4.5 We Do Not Sell Your Data
We do not sell your personal information, and we do not share it with advertising networks or data brokers. We do not sell, trade, or share your Google account data, Gmail content, or Calendar content with anyone for advertising purposes.
5. Third-Party Services We Use
These are the third-party services that receive data when you use OLL.E:
- Google Sign-In: authentication.
- Google Gmail and Calendar APIs: the connected-account features described in Sections 1.3 and 1.4.
- Google Play Billing / Apple App Store: subscription purchase and validation.
- Firebase (Google): crash reporting, push notifications, authentication, and app messaging.
- PostHog: product analytics and the limited session recording described in Section 1.10.
- AppsFlyer: install attribution and marketing measurement.
- Microsoft Azure Cognitive Services: speech-to-text and text-to-speech for voice features.
- AI model providers: processing described in Section 3.
- Cloud telephony provider: placing the automated call used by the "Call me" response method.
- Google Analytics: on our website only, as described in Section 13.
We periodically review this list. Services we previously used and have since removed, including Mixpanel and UXCam, no longer receive any data from OLL.E.
6. Data Security
Tokens and credentials: OAuth tokens for Google and any other connected service are encrypted at rest, scoped to the minimum access needed, and rotated. Only authorised staff can access production systems, under access controls and for support or debugging purposes.
We implement reasonable technical and organisational safeguards to protect your data, including encrypted connections (SSL/TLS), secured servers, and restricted access by authorised personnel only. However, no internet or electronic storage system can ever be guaranteed 100% secure. By using OLL.E, you acknowledge and accept this inherent risk.
7. Your Choices and Rights
7.1 Access and Update
You can view and update your account details in the App's profile section.
7.2 Delete Your Account
You can delete your account and its associated data directly in the App, from Profile, Delete account. You can also request deletion at olle.tech/delete-account or by emailing info@olle.tech. Deletion removes your profile, watches, feed history, and connected-account tokens. We complete deletions within 30 days, except where limited records must be retained for legal or accounting reasons.
7.3 Disconnect a Google Account
You can disconnect OLL.E from your Google account at any time from:
- The OLL.E App, More, Linked Accounts, Disconnect
- Or your Google Account, Security, Third-party apps with account access, Remove OLL.E
On disconnection we stop monitoring immediately, cancel any queued actions, and delete the stored access and refresh tokens for that account.
7.4 Other Controls
- Promotional emails: unsubscribe at any time via the link in any marketing email.
- Device permissions: notification access, microphone, camera, and photo access can each be revoked in your device settings. Revoking a permission disables only the features that depend on it.
- Advertising identifier: reset or delete it in your device settings under Privacy, Ads.
Depending on where you live, you may have rights to access, correct, port, or erase your personal data, or to object to certain processing. Contact us at info@olle.tech and we will honour applicable requests.
8. Data Retention
We retain personal information only as long as needed to operate OLL.E and fulfil your requests.
- Non-matching notifications: never retained; evaluated and discarded.
- Matched alerts and feed items: retained while your account is active so your feed and history work, and deleted when you delete the item or your account.
- Gmail and Calendar monitoring metadata (sender, subject, headers, event details): retained up to 30 days for reliable matching and troubleshooting, then deleted.
- Automated reply and action logs: retained up to 180 days for audit and support, then deleted.
- Full email bodies: not stored beyond the processing needed to evaluate your rule and produce the result you asked for.
- Job listings: analysed short-term (typically 30 minutes or less) to match your filters, then deleted.
- Voice audio: not retained after transcription.
- Session recordings: retained up to 90 days, then deleted.
- Subscription metadata: kept while your account is active and up to 12 months after deletion for accounting and fraud prevention.
You can request earlier deletion of stored monitoring metadata or logs by contacting info@olle.tech.
9. Children's Privacy
Our services are not directed to children under 13, and we do not knowingly collect personal information from them. If we learn we have inadvertently done so, we will promptly delete it. Please contact us if you believe this has occurred.
10. International Data Transfers
Your data may be processed and stored on servers located outside your country, including in the United States. Local laws in these countries may differ from those in your jurisdiction. By using OLL.E, you consent to such transfers.
11. Legal Bases for Processing
We process your personal information based on:- Your consent: when you create an account, connect a Google or third-party account, grant notification access, or enable voice, alarm, or call responses.
- Contractual necessity: to deliver the services you configure and your paid plan.
- Legitimate interests: to keep the platform secure and reliable, troubleshoot, and improve our features.
- Legal obligation: to retain limited subscription records for tax, audit, and fraud prevention.
Where we rely on consent, you can withdraw it at any time by disconnecting the relevant account, revoking the permission, or deleting your account.
12. Permissions We Request
12.1 Notification Access
We request permission to read notifications from apps you explicitly select, so OLL.E can analyse incoming messages and determine whether they match your saved rules. We explain this in the App before requesting the permission. Handling and retention are described in Section 1.2.
12.2 Display Over Other Apps and Alarms
We request permission to display over other apps and to schedule exact alarms, so a full-screen alert can reach you the moment something matches, even when your phone is idle. A persistent status-bar notification shows whenever monitoring is running, and you can pause or stop it at any time.
12.3 Microphone
Requested only for voice features in chat, and used only while you are actively speaking to OLL.E. See Section 1.7.
12.4 Camera and Photos
Requested so you can attach a photo in chat, set a profile picture, or include a screenshot in a bug report. We access only the specific items you choose.
12.5 No Call or SMS Permission on Device
OLL.E does not request or access your phone's native Call or SMS permissions.
- If you enable the "Call me" response method, our backend telephony provider places an automated call to the number you supplied.
- At your own risk: we do not verify phone numbers. If you enter an incorrect number, an unintended recipient may receive your alert call. You are solely responsible for the accuracy of any number you provide.
12.6 In-App Purchases
OLL.E offers optional paid subscriptions. Payments are handled by Apple (iOS) or Google (Android), and refunds must be requested through them. We do not store your payment method.
13. Cookies and Website Analytics
Our website uses Google Analytics to understand traffic and improve the site. This sets cookies that record pages viewed, approximate location derived from IP address, and referring source. You can block cookies in your browser settings or opt out using Google's browser add-on. The OLL.E mobile app does not use cookies.
14. User-Generated Content
Feedback, ratings, and bug reports you submit may be stored and used to improve our services. We may display anonymised or aggregated feedback within the App.
15. Changes to This Privacy Policy
We may revise this Privacy Policy from time to time. Updated versions will be posted on this page with a revised "Last Updated" date. If we make material changes, we will notify you through the App or by email.
16. Governing Law
Any disputes arising out of or relating to this Privacy Policy or your use of the App shall be governed by the laws of the State of Delaware, USA, without regard to its conflict of law principles.
